As described in the Structure section of this guide, your organisation will be set up as a branch in the Academy.
Branches have a tree-like structure, and you can create sub-branches within your organisation branch to separate and customize your eLearning offering for different departments, geographical regions, etc., each with its own courses, and users.
The branches section shows a list of all existing branches, their parent branch (where relevant), and the number of users and courses belonging to the branch, and allows you to edit a branch or add a new one. You can also apply a custom URL for your organisation branch here.
The branches list can be downloaded as an Excel-compatible CSV file if required.
To set up your custom URL to the Academy, click the Branches icon on the dashboard and select your main (parent) branch by clicking the branch name or the icon:
In the 'Domain name for branch' field, enter your custom URL. This must end .ideagenacademy.com (e.g. mycompany.ideagenacademy.com). Click [Update] to confirm.
Please note that if you set a custom URL, users will still be able to log in using the generic www.ideagenacademy.com address. However, you will need to set up a custom URL if you want to integrate Q-Pulse with Academy. See Q-Pulse / Academy Integration for more information.
To add a new sub-branch, click the Branches icon on the dashboard and click [Add Branch].
Once you have completed the fields, click [Add]. Further options will then become available to edit the branch.
The options to edit a sub-branch will become available after creating the sub-branch, or you can edit your branch (or any of your sub-branches) by clicking the icon from the Branches screen.
These options are displayed across tabs to see the branch Users, Courses, Curriculums and extra Settings:
The [Users], [Courses ]and [Curriculums] tabs displays a list of the Users, Courses and Curriculums assigned to the branch (or sub-branch) respectively. You can download the information from these tabs in Excel-compatible CSV format by clicking the icon.
The extra [Settings] tab allows you to set the site name and motto for the branch, language, and theme to be used for the branch’s content. Please note that you cannot create a new theme. You can only choose from a list of existing themes.
The [Users] tab displays a list of the users assigned to the branch and any of its sub-branches. Any users assigned to a sub-branch will display with a icon.
It is possible to delete your sub-branch(es) from the Branch tab using the [Delete Branch] button, in the [Branch] tab of the branch.
- Proceed with caution! Deleting a sub-branch will also delete any sub-branches assigned to the sub-branch (if you are using a nested hierarchy of sub-branches). If will also render any administrators of the sub-branch(es) inactive.
A warning message will appear prompting you to select a suitable sub-branch to assign all affected users to. You have the option to select your main organisation branch, or one of your sub-branches:
It is important to re-assign all users, courses and/or curriculums to another sub-branch before proceeding. This process is irreversible. If you delete a sub-branch in error, Ideagen WILL NOT be able to recover any lost data.
