You can use the Users section of the Academy to view, add and manage your users. A user can be either an Administrator, an Instructor or a Learner.
Note: Each customer has a limited number of concurrent users. If the total number of online users in your branch hits your concurrent user limit, other users in your branch will not be able to log in to the Academy.
To view and manage your users, click the Users icon on the dashboard:
The ‘Operations’ column allows additional actions:
In addition, if you want to prevent a user from accessing the site without deleting them, click their Active toggle.
To add a new user, click the Users icon on the dashboard and click [Add User].
Once you have completed the fields, click [Add].
To import users in bulk, click the Maintenance icon on the dashboard and select ‘Import from CSV’:
Download the CSV template and complete all required fields. Usually, you will only need to enter into the first 5 columns. If so, delete the rest of the columns before uploading. The fields are:
Note, do not include commas in the CSV template as this will causes errors during import.
A user’s type defines the set of permissions and capabilities that the user has in the Academy.
The User Types section shows a list user types available to you:
Note: The user type settings are not configurable. If you require any changes to a user type, contact us to discuss your requirements.

In some instances, a user may need two accounts in the Academy, e.g. to allow Administrators or Instructors to complete courses as learners. Mapped accounts allow you to map two accounts so that you can switch from one account to the other quickly and easily, without having to log out and log in again. This feature is turned on by default - but can be changed in System Settings.
Note: The following steps can be completed by the user, or by an Administrator logging in as the user (using the log in as user icon from the Users dashboard).
Now that the accounts are mapped, when you next click on your ‘User Options’ icon, you will see both accounts displaying in the list - simply click the account you wish to use to switch between the accounts.

Please note that if you are logged in as another user, you WON'T be able to use the mapped account feature to switch accounts.
FAQs
The concurrent user limit (based on the number of concurrent user licences purchased) is automatically applied to your branch in the Academy. If the total number of online users in your branch hits your concurrent user limit, other users in your branch will not be able to log in to the Academy. The user trying to log in will see the error below:
To increase your concurrent user limit, please contact your Ideagen Account Manager.
If you use the mapped accounts feature and find that you are being logged out of the Academy when switching between accounts, clearing your browser cookies should resolve the problem. If you continue to experience problems, please contact us.
