Welcome to Ideagen Academy, the eLearning solution for Ideagen products. This Quick Start Guide covers everything you need to know to get up and running as an Administrator in the Academy.
IMPORTANT: If you've been added as an administrator, you'll be able to add users, set training plans, view courses and create content. However, unlike learners, you WON'T have a training plan. Therefore, if you want to take courses and update your training plan, you will need to create a separate learner account. See Users for more information.
Your home screen
Once you have logged into the Academy, you will automatically be taken to the home screen. The options you have available to you on your home screen depend on whether you are a Basic or Professional customer of the Academy.
Your organisation branch name and any associated identity settings display on the left-hand side of the top menu. Clicking this from any page within the Academy will take you to the home screen:
The search field in the middle of the top menu can be used to search any area of the Academy including users, courses, groups, etc.
The icons and menu at the top-right let you access the following
Announcements – view/add announcements | ||
Alerts – view recent system alerts | ||
Timer - A timer counting down from 1 hour. If you are inactive within the Academy for more than an hour, you will be logged out automatically. | ||
Learner / Professional Administrator - If you have mapped your administrator and learner accounts, you can switch between them here.
My account – Lets you to view your progress reports, edit your profile (such as avatar), and view your groups, jobs and training history. You can also map your admin account to a learner account.

The dashboard gives you a snapshot view of user sign ins, completions, number of courses, and time spent training. The icons on the left-hand side of the dashboard provide access to your course set up, user functions and system functionality:

Setting up your Academy
To get your Academy up and running, we recommend doing the following:
Branches have a tree-like structure, and you can create sub-branches with your organisation branch to separate and customize your eLearning offering for different departments, geographical regions, etc., each with its own courses, and users. Read more about setting up branches.
Your starting point for the Academy will be adjusting your system settings before adding your content or users. You can customise your Academy by adding your organisation name and logo, as well as being able to customise your security settings. Read more about your system settings.
You can use the Courses section of the Academy to add your own eLearning content. Courses hold the actual training content, such as videos, quizzes, surveys, SCORM etc. Read more about adding courses.
You can also organise your courses using the Curricula function which allows you to group your courses and perform mass actions on them. Read more about curricula.
You can use the Users section of the Academy to view, add and manage your users. See how to add users.
A user can be either an Administrator, an Instructor or a Learner. See the full list of user permissions and capabilities.
Groups
Groups allow you to organize your users into logical entities and treat all users within a group as a single entity, such as assign them courses, or see reports on them. This is particularly useful for large deployments. Read more about setting up groups.
Audiences
Audiences allow you to divide your users into logical groups based on certain conditions such as the sub branch they belong to, their Job, User Type, or language. Read more about setting up audiences.
Jobs
Jobs enable you to divide your learners according to their role in your organisation. This can be helpful when assigning courses and curricula to learners as the Academy allows you to assign courses to people with specific job positions. Jobs are also helpful when defining audiences as you can choose specific jobs to be included in an audience. Read more about setting up jobs.
Certificates can be awarded upon successful completion of a course or curriculum. Read more about creating certificates.
The Academy provides ready-made reports on Users, Courses, Curricula, Tests, Surveys, SCORM content, Certificates, and a Timeline listing of all user actions. All reports can be filtered to display only the information you’re interested in, and they can all be exported to CSV. Furthermore, some of the reports can be scheduled to run automatically and the results emailed to you on a regular basis. Read more about reports.

Academy Structure
Academy is structured like an organisation tree. Each section is called a branch. Courses added to a higher branch will be accessible to all sub-branches.
As a Basic customer, you will be able to access all basic courses. All your users will be added to the same branch.
As a Professional customer of the Academy, your organisation will be set up as a branch in the Academy with one, or more, branch administrators. Branches in the Academy have a tree-like structure, and you can create sub-branches with your organisation branch being the parent.
This way it is possible to create a tree of branches, that resembles an organisational chart. Each tree is totally separated from its siblings so that users in one tree have no knowledge of the existence of other trees, nor its users, courses, progress, etc. This is useful for large deployments as they are a good way to separate and customize your eLearning offering for different departments, geographical sections, etc. Each sub-branch you create within your organisation branch can have its own branch administrators to manage the users, content, and so on.
You also have the option of using groups and to organize your users into logical entities, allowing you to treat all users within a group as a single entity, such as communicating to a group of users, assign them courses, or viewing reports on them.
As shown above, users can belong to your organisation branch, a sub-branch, or a group within your branch (or sub-branch).
The structure you choose to adopt will depend on your organisation and end-users needs. Once you have determined the most suitable structure for your Academy, you can use this guide to assist you in creating your sub-branches, groups and users.
