Welcome to Ideagen Academy, the eLearning solution for Ideagen products. This guide covers everything you need to know to get up and running on the Academy, from logging in to taking courses.
When your Academy account is created you will receive a welcome email from admin@ideagenacademy.com. The email will include your Academy username (usually your email address), password and a sign in button. Click the [Sign in] button or go to https://www.ideagenacademy.com to log in.
Enter your username and password from the welcome email and click [Sign In].
Note: If it is the first time you have logged into the Academy, you will be prompted to enter a new password.
If you did not receive your welcome email, firstly check your junk email / spam folder. If you are still unable to find the email, you can request to reset your password.
If you have forgotten your password, or have not received your welcome email, you can request to reset your password.
To do this:
The Academy will open and you will be prompted to create a new password. Note: the Reset Password link will only be valid for 24 hours.
If you do not receive a new email from the Academy, it may be that your organisation uses a customised URL. Contact your Academy Administrator who will be able to provide you with the URL and/or a new password.
When you log into the Academy, the home screen will display all the courses you are enrolled on.
Your organisation name and logo display on the left-hand side of the top menu (note, for basic customers, the Ideagen Academy name and logo is displayed). Clicking the name/logo from any page within the Academy will take you to your home screen.
The quick access icons on the right-hand side of the top menu let you access Academy help, alerts, and your user options.
The calendar will display any "classroom" based training courses that have been scheduled.
Discussions lets you discuss Academy courses with your colleagues. See Discussions.
You can use the icon in the right-hand side of the top menu to view any messages or calendar items your instructor or administrator has sent to you. If you have been sent any alerts or notifications, you will see a number displaying next to the icon. Click the icon to see your alerts:
Clicking an alert will display the full alert message or click ‘Show all’ to display all your alerts.
The countdown timer displays the number of minutes remaining until you are automatically logged out of the Academy. The timer will only countdown whilst you are not actively using the Academy. If you are inactive for more than 60 minutes, you will be logged out of the Academy for security purposes and will be prompted to enter your username and password to log back in.
Each time you move to a new page, or click a course or icon, the timer will refresh. You can also refresh the timer manually by clicking the icon.
The user options icon (displaying your initials or photo/avatar if you have added one) gives you access to your account, the course catalogue (a list of all the courses you can take), the Academy's privacy policy / terms and conditions, this help file.
You can also access My Profile and sign out of the Academy from this menu.
My account gives you access to your personal profile and allows you to view your certificates. You can use this area of the Academy to change your personal details or password at any time. Note: you will always be prompted to change your password the first time you log in to the Academy.
The [User] tab
New in version v.2.3.4, you can now view detailed information about your training progress.
The graph shows you how many times you've signed in and how many courses you've completed. Click the appropriate button to choose the time period to view.
Below the graph, you can see a summary of how many courses in your training plan you've completed, how many tests you've passed, how many certificates you've been awarded, and how many points you have accrued.
The table below shows the following information:
You can view all this information in Excel by clicking the [Export Stats] button.
The [Profile] tab
This lets you view or change your personal details (see changing your details).
The [Certificates] tab
This displays a list of all certificates you have been awarded for completing a course or curriculum.
You can view a certificate by clicking the icon in the ‘Operations’ column. This will open the certificate as a PDF which you can then print or save.
The [Groups] tab
This displays a list of any groups you have been added to. Your System Administrator may add you to one or more groups so that they can assign courses to specific groups of users.
The [Mapped accounts] tab
This displays any mapped accounts you have added to your account. This is likely to be blank unless you have an administrator account. See Mapping user accounts for more information.
The [More] tab
This is a drop-down list to access your jobs and training history.
‘Jobs’ displays a list of any jobs applied to your user account. Your System Administrator may apply one or more jobs to your account so that they can assign specific courses to you based on your job role(s) in your organisation.
The ‘Training history’ section is an archive of data related to any courses you have been unenrolled from (see unenrolling from a course).
To change your personal details, click your user options icon in the top left of the screen and select ‘My account’.
In the [Profile] tab, you can change any of the following information:
Note: if you change your email address, you must make sure you enter a valid email address otherwise you will not receive any emails from the Academy (e.g. if you forget your password).
Make any changes as required, then click [Update].
To change your Academy password, click your user options icon in the top left of the screen and select ‘My account’.
In the [Profile] tab, enter your new password in the ‘Password’ field and enter it again in the ‘Repeat password’ field.
Click the [Update] button to save your new password.
Your Academy home screen displays a list of all the courses on which you are enrolled. A progress bar displays your overall progress within each course.
Courses you have completed are marked as such and, if you have been awarded a certificate for completing a course, you will see the rosette icon - ) - next to the course name. Click the icon to download your certificate as a PDF which you can print or save.
Click a course name to open the course dashboard, where you can start or resume the course (see taking a course).
The red [Course catalogue] button above the list of courses lets you view all other courses available to you (see course catalogue).
Note: if you have not been enrolled on any courses your course list will be empty and you will be prompted to view the courses available in the course catalogue.
Your course catalogue contains a list of all courses created by Ideagen as well as any courses created by your organisation, including the courses you are enrolled on.
A green ‘In roster’ tag is shown against any courses you are enrolled on.
The search field in the top left allows you to search for specific courses.
The icon in the top right allows you to filter the courses in the course catalogue by type of learning (e-Learning or blended learning courses), category or location (for any blended learning courses which include physical or virtual classes).
To enrol on a course, hover over any course in your course catalogue and click the [Info] button. The course dashboard opens showing additional information about the course.
To enrol on the course, click the [Add to Roster] button. You will see a confirmation message and the course will be added to your course list on your Academy home screen. Note: some courses may need approval from your System Administrator before you can start it. The confirmation message will notify you of this.
From your Academy home screen, click on the name of the course you wish to start. The course dashboard opens showing additional information about the course and detail of the course content.
Each course can consist of one or more lessons, and each lesson can consist of one or more learning units. You should start with the first unit of the first lesson and work through the course one unit at a time.
A learning unit may be a document to read, a video to watch, or an interactive module. There may also be quizzes to test your knowledge and/or feedback surveys to complete as part of a course. Note, most Ideagen courses include quizzes and feedback surveys.
Click the [Start course] button to start the course.
At the end of each learning unit you may be prompted to click a [Complete] button to progress to the next unit or lesson in the course.
When you complete all learning units, quizzes and surveys of a course, a message will appear confirming that you have completed the course and will give you options for the next steps.
If a certificate is awarded to you after completing a course, you will see a notification message.
You can use the [Download certificate] button to download your certificate and print it. You can also view any of your certificates at any time from your account.
There are numerous Ideagen product-focused courses in the Academy from the basics of “getting started” to best practice courses.
You should complete the ‘Introduction to Academy’ course to familiarise yourself with the various captions you will see throughout Ideagen courses and how to navigate through the units.
All Ideagen courses include some narration. You will need speakers or headphones to listen to the narration, although you don’t need audio to gain maximum benefit from each course as captions are always provided.
The playback bar at the bottom of the screen provides standard controls for navigation through each learning unit of an Ideagen course.
Note: Ideagen courses are not designed for mobile phones.
Some courses may include a quiz to test your knowledge (including most Ideagen course).
At the start of each quiz you will see an introduction screen telling you how many questions are included and the pass mark you must achieve to pass the test.
Once you have completed the test you will be shown your results.
Answers marked as correct display in green and answers marked as incorrect display in red. If any of the answers need to be marked manually or checked by your organisation, they will show as ‘pending’.
Once pending results have been verified, you will receive a notification message in your alerts.
If you wish to unenroll yourself from a course, click on the course from your Academy home screen. On the right-hand side of the course dashboard, click the [Options] button and select ‘Un-enrol from course’.
Some courses may not provide the option to unenroll yourself, depending on the course settings.
Note: Your System Administrator can also unenroll you from a course(s). Any courses from which you have been unenrolled will be displayed in your ‘Training history’ (see my account).
